  • For authors: Name, email address, affiliation, ORCID iD, postal address (if required for correspondence) and payment details (for article processing charges).
  • For reviewers: Name, email address, affiliation, academic qualifications and areas of expertise.
  • For readers: Email address (if subscribing to updates or alerts) and IP address (for website analytics).
  • For editorial staff: Name, email address, affiliation and professional details.

2. How We Use Your Information

  • For authors: To process manuscript submissions, communicate editorial decisions, manage the publication process and issue invoices for article processing charges (APCs). The names and affiliations of authors are published with their articles and sent to indexing services and to Crossref.
  • For reviewers: To invite and assign peer reviews, communicate review outcomes and acknowledge contributions to the journal.
  • For readers: To provide access to published content, send journal updates and improve the user experience on our website.
  • For editorial staff: To manage the editorial process and communicate with authors and reviewers.

3. Legal Basis for Processing

We process personal data under Article 6 of the GDPR, on the following grounds:

  • Consent: By submitting a manuscript, registering as a reviewer or subscribing to updates, you consent to the collection and use of your personal information for the purposes set out in this Privacy Statement.
  • Contractual necessity: Processing is necessary to fulfil our obligations to authors, reviewers and readers under our publication and subscription agreements.
  • Legitimate interests: We may process data to improve our services, ensure the integrity of the peer review process and maintain the quality of the journal.

4. Data Sharing and Disclosure

We do not sell or rent your personal information to third parties. Your data may be shared in the following circumstances:

  • With reviewers and editors: Manuscripts are shared with reviewers and editors as part of the peer review process, confidentially and in accordance with our double-blind peer review policy.
  • Published metadata: On publication, the authors’ names, affiliations and ORCID iDs, and the e-mail address of the corresponding author, are published with the article and sent to Crossref (for DOI registration) and to indexing services.
  • With service providers: We may share data with service providers that run the journal’s systems (for example the Open Journal Systems platform and its hosting, Crossref, payment processors and IT support). These providers are contractually obliged to protect your data.
  • For legal compliance: We may disclose personal information if required by law or to protect the rights, property or safety of the journal, its users or the public.

5. Data Retention

We retain personal information only as long as necessary for the purposes set out in this Privacy Statement:

  • Author data: Retained for the duration of the publication process and for a reasonable period afterwards to address post-publication inquiries. Author names and affiliations published with an article remain part of the scholarly record.
  • Unpublished manuscripts: Rejected or withdrawn manuscripts and their review files are kept securely for a limited period, to deal with appeals or ethical questions.
  • Reviewer data: Retained while the individual serves as a reviewer and for a reasonable period afterwards to acknowledge contributions.
  • Reader data: Retained while the individual remains subscribed to journal updates or alerts.

6. Data Security

We apply appropriate technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration or destruction. These measures include encrypted connections (HTTPS), secure servers, role-based access and regular monitoring.

7. Your Rights

Under applicable data protection laws, you have the following rights regarding your personal information:

  • Access: You may request a copy of the personal data we hold about you.
  • Correction: You may request the correction of inaccurate or incomplete data.
  • Deletion: You may request the deletion of your personal data, subject to legal obligations and to the integrity of the published record.
  • Restriction: You may request restrictions on how we process your data.
  • Objection: You may object to the processing of your data for specific purposes.
  • Data portability: You may request a copy of your data in a structured, machine-readable format.

Under Article 17(3)(d) of the GDPR (archiving and scientific research) and COPE guidance, the right to erasure does not extend to published articles and their bibliographic data: published research is not deleted, and changes follow the journal’s corrections and retractions policy.
